1. Introduction
EasyIDP is a Swiss web application that helps football coaches structure and track the individual development plans (IDPs) of their players. This policy explains which data we process, why, with whom it is shared and what your rights are.
2. Data controller and roles
EasyIDP is operated by Niels Uythoven, Luegislandstrasse 337, 8051 Zurich, Switzerland (contact: support@easyidp.ch).
- For the coach's account data (identity, credentials, billing), EasyIDP is the data controller.
- For the player data entered by the coach (profiles, assessments), the coach — or their club — is the data controller and EasyIDP acts as a data processor, solely on behalf of the coach (see Annex A — Data Processing Agreement).
3. Data processed
- Coach accounts: first name, last name, e-mail, login credentials (hashed password), language, technical logs.
- Player profiles (entered by the coach): first name, last name, date of birth, category/team, access key, objectives.
- Assessments: self-assessments and coach assessments, comments, scores, trends.
- Billing: subscription and payment data processed by Stripe; card numbers are not stored by EasyIDP.
4. Purposes and legal bases
- Providing and managing individual development plans — performance of the service.
- Managing accounts, access and the subscription — performance of the contract.
- AI-assisted analysis of assessments — consent (and parental consent for minors).
- Security and improvement of the service — legitimate interest.
- Legal obligations — in particular accounting retention.
Minors: player profiles are created by the coach. The coach is responsible for obtaining the consent of the holder of parental authority before entering any data concerning a minor. EasyIDP provides an information template intended for parents.
5. AI-assisted analysis
The export function may generate an automated analysis of assessments. The assessment data, together with a limited internal identifier, is transmitted to an AI provider (OpenRouter, a model from the GPT-4o family), whose servers are located outside Switzerland (in particular in the United States). The analysis is indicative, reviewed by the coach; it does not constitute an automated decision producing a legal effect. This transfer is governed by appropriate safeguards and/or by your consent. EasyIDP remains fully usable without this function.
6. Recipients and processors
We do not sell any data. Your data may be disclosed to the following processors, strictly to provide the service:
- Infomaniak Network SA — hosting and database (Switzerland).
- Stripe — payments and subscriptions.
- OpenRouter / AI model provider — analysis of assessments (processing outside Switzerland).
Disclosure to authorities remains possible where required by law. No advertising cookies or third-party analytics tracking are used.
7. Retention
- Account and player data: as long as the account is active, then deletion within a reasonable period or upon request.
- Billing and accounting: 10 years (Swiss law).
- Backups: renewed by rotation.
8. Transfer abroad
Data is hosted in Switzerland. Certain processing operations — in particular AI analysis — involve a transfer outside Switzerland, governed by appropriate safeguards and/or by your explicit consent.
9. Your rights
You have the rights of access, rectification, deletion, export (portability), objection, restriction and withdrawal of consent. To exercise them: support@easyidp.ch. You may lodge a complaint with the FDPIC (PFPDT), www.edoeb.admin.ch; persons located in the EU may contact their national data protection authority.
10. Security
Hosting in Switzerland, encryption of communications (TLS/SSL), hashing of passwords, access control and backups. In the event of a breach presenting a risk, the data subjects and the competent authorities are informed.
11. Cookies
We use only cookies necessary for operation and security (session, securing of Stripe payments). No advertising cookies or third-party analytics tracking.
12. Changes
Any significant change is announced on the platform, together with a new publication date.

Terms of Use

Art. 1 — Purpose
EasyIDP helps coaches create and track the individual development plans (IDPs) of their players. Creating an account constitutes acceptance of these terms.
Art. 2 — Accounts and access
The coach must be of legal age and capacity, or act with the authorization of their club. Players access the application by means of a key provided by the coach and may be minors. The coach is responsible for the confidentiality of their credentials.
Art. 3 — Player data and roles
The coach is the data controller for player data; EasyIDP acts as a data processor. The coach undertakes to have a valid legal basis and, for minors, to obtain parental consent before any data entry. The terms are set out in Annex A — Data Processing Agreement. EasyIDP provides an information and consent template intended for parents.
Art. 4 — AI analysis
The automated analysis performed via a third-party AI provider constitutes indicative assistance. It may contain inaccuracies, does not replace the coach's judgment and must not, on its own, form the basis of a decision significantly affecting a player.
Art. 5 — Subscription, trial and payment
A free one-month trial is offered, followed by a monthly or annual subscription. Payments are processed via Stripe. The subscription is automatically renewed unless cancelled before the due date; it is cancellable at any time, with effect at the end of the current period. Price changes are notified in advance. Started periods are not refunded, except where mandatory provisions require otherwise.
Right of withdrawal (EU consumers): if you reside in the European Union, you are in principle entitled to a 14-day withdrawal period for distance contracts. For a digital service that begins immediately with your consent, this right may end once the service starts; the free trial lets you try the service without commitment in any case. Art. 6 — Acceptable use
Use must be lawful and serve the development of players. It is prohibited to enter data concerning third parties without a legal basis, to publish illegal content or to disrupt the security of the platform.
Art. 7 — Intellectual property
The platform, logos, designs and code belong to EasyIDP or its licensors. The data entered remains the property of the coach (or the club / the player).
Art. 8 — Availability and liability
The service is provided "as is", without guarantee of uninterrupted availability. Within the limits of Swiss law, liability is disclaimed for indirect damages and losses beyond our control; it is your responsibility to keep your own copies. Gross negligence, intentional unlawful acts and mandatory consumer rights remain reserved.
Art. 9 — Data protection
The processing of data is governed by the Privacy Policy and by Annex A.
Art. 10 — Changes
Significant changes are announced; continued use constitutes acceptance.
Art. 11 — Applicable law and jurisdiction
These terms are subject to Swiss law. The place of jurisdiction is Zurich, subject to the mandatory consumer protection provisions at the user's domicile.
Annex A — Data Processing Agreement

This annex applies when the coach enters into EasyIDP data concerning third parties (the "Players"). It supplements the Terms of Use and the Privacy Policy.
1. Roles
The coach (or their club) is the data controller; EasyIDP is the data processor and processes the data solely on behalf of the coach.
2. Subject matter and data
The purpose of the processing is the tracking of individual development plans, for the duration of the account. Data subjects: the players (possibly minors). Data: identity (first name, last name, date of birth), category / team, objectives, assessments and trends.
3. Instructions
EasyIDP processes the data in accordance with the documented instructions of the coach and warns them if an instruction appears to it to be unlawful.
4. Confidentiality
Persons authorized to process the data are bound by confidentiality.
5. Security
EasyIDP implements appropriate technical and organizational measures (see the Security Summary).
6. Sub-processors
The coach authorizes the use of the following sub-processors: Infomaniak (hosting, Switzerland), Stripe (payment) and OpenRouter / AI model provider (analysis; processing outside Switzerland). EasyIDP informs of any change and allows objection to it.
7. Transfer abroad
AI analysis involves a transfer outside Switzerland, governed by appropriate safeguards and/or by consent. By activating these functions, the coach accepts the principle thereof.
8. Rights of data subjects
EasyIDP assists the coach, as far as possible, in responding to the requests of players and parents.
9. Data breach
EasyIDP informs the coach without undue delay in the event of a breach concerning player data.
10. End of processing
Upon closure of the account or upon request, EasyIDP deletes or returns the player data, subject to legal retention periods.
Coach's commitments
By creating profiles, the coach declares that they:
- have a valid legal basis;
- obtain parental consent before entering the data of a minor;
- inform players and parents of the use of EasyIDP, including AI analysis;
- enter only relevant and proportionate data.
